
Scheduling Installs
CPQ: Go to Hubs: Search & Open "Approved time in Stage" Smart View
Make sure any folios in the Assigned status gets updated to Working
Move "Schedule Install" WO from assigned to working
Go to folios that are in a Waiting status and see if there are any updates that happened. Always start here before you move on with the working ones.
From there just follow up if it has been a week or so…mark as checked for the day so you can move on.
Check off the panhandle ones that we are still working on getting a team. (will wait for Sophies go ahead to reach out to them)
Next. Check GoHi-level. Review unread text messages for possible confirmations from customers previously contacted
If you send a message. Make sure you add yourself as a follower. That way when they write back you will see the message.
Move on to the new calls for the day:
Read the notes before you make any decisions…sometimes you can see if they want to cancel, or how many attempts have been made already.
Might need to reach out to someone to discuss the account first. Just need to make sure everything is good to go.
First customer: type out the address in the zone map to see which team you will pick. You can also google maps it to see how far it is from the team. Once you pick the team,
Then you want to determine how many days.
Check the roof type (under engineering). If its a tile roof then add a day to it.
If the roof isn’t under engineering then go to plans. Signed and sealed plans.
Check how many panels: 30 panels per day.
If its just for landing. They can handle 60 ish racks in one day. If tile, add one more day. If it's 2 floors they can rack about 50 a day.
PPI: If there is no PPI you need to schedule the install in sections. 1. Racking for 1-2 days depending on the roof and size of the system. 2. Phase of Landing. Space it out 7 ish days including weekend.
PPI: Yes PPI. Schedule normal
PPI: if no info or if its Miami or Broward, check with the permit runner. Check under properties. Then permitting tab. Show empty properties field. @permit runner please confirm is PPI is available or not
PPI: if no info for other counties. Look at the spreadsheet for registered cities.
If engineering is blank…go to BIA and get info
You can get roof type hopefully as well as number of panels.
Check google maps for roof if need be.
For zone three. If it's towards the bottom. Miami team is best
Calendar view:
Always leave Friday open for weather or service calls.
Find first available days for the team.
Calling customer: phone first, then text, them email
Confirming first available date
Let them know that material will be delivered 1-5 days before the install.
Make sure there are no gate codes for access
Go off the templates for voicemails. Immediately send the text to follow up.
Record your attempts in CQ
Once you hit the 3rd attempt, reach out to the sales person. Make sure you call, text and email will be the final attempt. Sometimes they opt out of the text…so you can email after that.
Things to check off if an install is scheduled successfully
Make sure it's added to the calendar. Searching work order on calendar by the folio number and click and drag. Make sure to extend the amount of days. In the calendar make sure to double click it and add the collaborators. Roof lead, electrician, installer
Go to Material on site. Put appropriate dates.
Go to properties/installers. Make sure to add appropriate people in the fields: Manually add the material delivery date as well. See below
Next: Complete work orders…make sure I am assigned to them.
Make sure these boxes are checked off when completing the work order
Installer Assigned: Pay permit fees. Ask permit runner to pay fees; Make due date today or tomorrow depending on time of day that you booked the install. Mornings: Make them due that day. After lunch make them due the following day.
Send confirmation through go hi level for either text or email…depending on method of contact.
Add myself as a follower just in case they have questions.
